How My Whatsapp LMS collects, uses and protects your data when you learn and train on our platform.
1. Information we collect
We collect information you provide when creating an account or being enrolled by your organization: name, email address, phone number (for WhatsApp delivery), role and group membership. As you use the platform we also record learning activity such as course progress, quiz results, survey responses and event attendance.
2. How we use your information
Your information is used to deliver training content via WhatsApp and the web dashboard, track completion and issue certificates, send course reminders and notifications, and produce reports for your organization's training administrators. We do not sell personal data to third parties.
3. WhatsApp communication
Training messages are sent through the official WhatsApp Business API using approved message templates. Your phone number is used solely to deliver training content, reminders and related notifications configured by your organization. You can request that your organization's administrator stop WhatsApp delivery at any time.
4. Data sharing
Learning records (progress, scores, attendance, survey responses) are visible to authorized administrators and trainers within your organization according to role-based access controls. We share data with service providers only as needed to operate the platform — for example messaging, video hosting and email delivery — under appropriate data protection agreements.
5. Data security
The platform provides authenticated access, email verification for administrator sign-in, role-based access controls and protected video delivery where configured. The effectiveness of these controls depends on the deployment and how your organization manages access. These features do not guarantee protection against every security risk.
6. Data retention
Training records are retained for as long as your organization maintains its account with us, or as required for regulatory and compliance purposes. When an account is closed, data is deleted or anonymized within a commercially reasonable period unless the law requires longer retention.
7. Your rights
Depending on your jurisdiction, you may have the right to access, correct, export or delete your personal data. Requests can be made through your organization's administrator or by contacting us directly through the contact page.
8. Website visit information
On public marketing pages, our visit tracker stores a randomly generated visitor identifier in your browser and sends that identifier, the page path and title, referring-site origin, time zone, browser and device category to our application for website analytics. The tracker excludes URL query strings and does not run on LMS sign-in or internal learning and administration pages. Our hosting provider may also collect technical request and performance information.
9. Changes to this policy
We may update this policy from time to time. Material changes will be communicated through the platform or by notice to your organization's administrators. Continued use of the platform after changes take effect constitutes acceptance of the revised policy.
